Terms & calculations

A reference for the amounts and labels in your tracker. All amounts are in USD. Sports, Pokémon, Other, and your custom categories each have separate inventory, cash, shows, expenses, and totals.

These are recordkeeping calculations based on your entries. Card values are estimates, and the app’s profit calculations do not establish taxable income or tax basis. Full disclaimer.

Inventory & card prices
Purchase cost / Cost invested / What you paid
The money invested in a card. Include acquisition costs such as purchase shipping or grading when appropriate for your records. A card received in a trade uses its allocated carried cost instead.
Pricing the card at / Estimated value / Card value
Your estimate of a card’s value. This is separate from what you paid and your asking price. A blank value counts as $0 in totals; it does not mean the card has no value.
Asking price
The amount you want a buyer to pay. It affects potential profit and the cost split for incoming trade cards. It does not determine business worth or realized sale profit.
Total card value
Sum of estimated values for active cards in the current collection. This is not the sum of asking prices.
Inventory cost
Sum of costs invested in active cards in the current collection.
Cards on hand / Active inventory
Cards still in your inventory. Sold, traded, and archived cards are excluded.
Potential profit
Asking price − cost invested. For the collection, add this difference across active cards. This excludes future selling fees and shipping and is not earned profit.

Example: cost $40, estimated value $90, asking price $100. The card adds $90 to total card value, $40 to inventory cost, and $60 to potential profit.

Cash & business worth
Cash available
Your recorded cash balance, including any bank balances you choose to include. It is manually maintained, not connected to a bank.
Estimated business worth
Cash available + total card value. Uses estimated card values, not asking prices. Set cash first to display the total. Debt, taxes, and unrecorded liabilities are not automatically deducted.
Cash + inventory at cost
Cash available + inventory cost. This is a separate view based on what you invested, not estimated resale values.
Set cash / Balance correction
Replaces the recorded balance with the amount entered. It is not profit or a new sale.
Deposit / Withdrawal
Adds to or subtracts from cash. A manual cash entry does not change profit.
Cash history
Tracks cash movements and balance corrections. Linked transactions are managed through their original deal or expense. Editing an older entry recalculates later movements, but a later explicit balance correction remains fixed.

Example: $500 cash + $900 estimated card values = $1,400 estimated business worth. A $50 cash deduction lowers it to $1,350 if card values stay the same.

Purchases, sales & profit sheet
Add an existing card
Adds a card you already own to inventory without deducting its cost from cash again or creating sale profit.
Record purchase / Buying now
Adds the card and deducts the entered purchase cost from cash. The purchase itself creates no profit. Set cash first.
Sale price / Cash in
The amount received from the buyer, before the selling fees entered separately.
Cost out
The recorded invested cost of the card or cards leaving inventory.
Selling fees + shipping / Expenses on a sale
The selling costs entered with that sale. They reduce both sale profit and the cash added by the sale.
Sale profit
Sale price − selling fees and shipping − cost out.
Sale cash movement
Sale price − selling fees and shipping. Original purchase cost is not deducted from cash again at sale.
Versus asking
Sale price − asking price. This compares the deal with your asking price; it is not profit.
Net profit / Realized profit
Sum of recorded sale and trade profits, minus standalone expenses marked to affect net profit. Purchases and manual cash entries contribute $0. The tracker’s trade method is explained below.
Running profit
Cumulative profit through each row of the profit sheet. Negative amounts represent losses or included expenses.
Calculator
A hypothetical deal: sale price − fees − what you paid. Calculator entries do not update inventory, cash, or records.

Example: buy for $40, ask $100, sell for $80, pay $5 in selling fees. Sale profit is $35, cash increases by $75, and versus asking is −$20.

Trades & automatic cost splitting

The tracker uses a cost-recovery method. A higher estimated value on a received card does not by itself count as realized profit.

Cash added / Cash paid
Money you give the trading partner in addition to outgoing cards.
Cash received / Cash in
Money the trading partner gives you.
Cost carried
max(0, cost out + cash added − cash received). “max(0, …)” means use $0 if the result would be negative. This amount becomes the combined invested cost of incoming cards.
Realized trade profit
max(0, cash received − cost out − cash added). Only cash above recovered cost is counted. A cards-only trade records $0 realized profit under this method, even if estimated values differ.
Trade cash movement
Cash received − cash added.
Cost split
Each incoming card receives cost carried × its asking price ÷ total incoming asking prices. If all asking prices are $0, cost is split equally. With just one incoming card, it receives all carried cost. Cent rounding keeps the allocated amounts equal to the total.

Example: outgoing cost $60 + $20 cash added − $10 cash received = $70 carried cost and $0 realized profit. Incoming asking prices of $100 and $50 split that cost into $46.67 and $23.33. Cash decreases by $10.

Example: outgoing cost $40, no cash added, $60 cash received: $20 realized profit and $0 carried cost.

Expenses, table fees & shows
Expense amount / Table or show fee
A recorded business cost. A table fee entered when creating or editing a show is saved as one linked expense; do not enter it again separately.
Affect net profit
Yes subtracts the expense from net profit; No tracks the expense without reducing that total. This is a reporting choice, not a determination of tax deductibility.
Affect cash and business worth
When checked, deducts the expense from recorded cash and therefore business worth. When unchecked, makes no cash deduction. This setting is independent of the profit setting.
Total expenses / Show expenses
Sum of recorded expense amounts, including costs excluded from net profit. Read each expense’s impact settings to see how it affects other totals.
Show transactions
Existing purchases, sales, trades, and expenses assigned to that show. Assigning a previous transaction does not create another transaction or change overall totals.
Show net profit
Sum of profits from transactions assigned to the show, including only expenses marked to affect net profit.
Show net cash movement
Sum of cash received − cash paid − selling fees for the show’s deals, minus show expenses marked to affect cash. Manual cash entries are not included.
Delete show
Removes the grouping; its recorded transactions and expenses remain in the main totals.

A $50 table fee can reduce both profit and cash, just profit, just cash, or neither, depending on its two settings. Avoid counting a cost again if it was already included in a purchase or sale.

Card details, scanning & record controls
Card name / Player / Pokémon
The name identifying your card. The form uses the selected collection automatically.
Year / Set or brand / Expansion
Printed release details that help identify the card. They do not change calculations.
Condition / Grade
Your entered condition description or a grade printed on a grading label. The app does not authenticate cards or assign professional grades.
Numbered / Serial numbering
A limited-run marking such as 23/99. This differs from a card’s number within a set.
Autographed
Your record that the card has a signature; not a guarantee of authenticity.
Photo scan
Suggested details extracted from card photos. Review them before applying. Scanning does not provide verified valuations or authenticity checks.
Delete card / Delete transaction
Deleting an inventory card removes it from active inventory without reversing its original deal. Deleting a transaction can reverse linked inventory, cash, and profit changes; later dependent deals may need to be deleted first. Review the confirmation before proceeding.
Custom category
Choose Create category in the collection menu to add your own card category. Each category has its own inventory, cash, shows, expenses, and totals. Categories sync across devices and are included in full backups.
Workspace colors
Use Edit branding below your business name and logo. Black & white is the default; Primary blue & light gray is another preset. Match my logo picks a color from your uploaded logo and adjusts it for readable text. Your choice is saved to your account and used for every card category. A neutral or unreadable logo uses black & white.
CSV / Backup / Account export
A CSV is a spreadsheet snapshot. Export backup produces a ledger file for the app’s import flow. Account export includes account information and records. Downloads do not update automatically; keep current backups.

Totals use the selected collection’s records, even when inventory search hides some cards. Changing estimated values or asking prices does not rewrite completed transaction profits.
